JOB DESCRIPTION
Within delegated authority and under the direct supervision of the Head of Administration, and overall supervision of the Country Director, the incumbent will perform the following duties:
- Plan and organize the work schedule of the Country Director and Deputy in order to optimize their time management and adequate meeting planning
- Support in the local and international travel arrangements of Senior Management
- Arrange for the booking of conference rooms and proper set-ups for Senior Management meetings
- Draft and respond to all correspondences on behalf of Senior Management
- Build strong relations with local counterparts and focal points in other UN agencies and Diplomatic Representations for thorough provision of business support and information sharing
- Preparing briefing materials and presentations for Senior Management meetings
- Take meeting minutes when needed
- Maintaining filing systems for Admin Unit and Senior Management correspondences and official documents
- Answering to telephone and emails on behalf of Senior Management
- Compile information for inclusion in reports, documents and correspondence, to support effective work of Senior Management and act as a liaison between staff members and Senior Management.
- Proof-read and review reports, documents and correspondence for the review and signature of Senior Management
- Process and manage routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources
- Contribute to the improvement of business formalities and Standard Operating Procedures
- Alternate with other administration staff as required by the Head of Administration.
- Perform other related duties as required.
OTHER SPECIFIC JOB REQUIREMENTS
- Official training and/or experience using MS Word, MS Excel, MS PowerPoint and other WFP software is an advantage.
- Experience working in the UN system, Government Ministries, or Private Sector Executive Support
- Good knowledge of UN administrative policies and procedures.
- Highly organized and structured
- Team Player and motivated
- Proactive and ability to work effectively under stress
- Display discretion and confidentiality
- Proven relationship building skills
- Experience utilizing computers, including word processing, spreadsheet and other standard software packages and systems.
- General knowledge of UN system, Government policies, rules, regulations and procedures governing administration.
