JOB DESCRIPTION
Within delegated authority and under the direct supervision of the Head of Administration, and overall supervision of the Country Director, the incumbent will perform the following duties:
  • Plan and organize the work schedule of the Country Director and Deputy in order to optimize their time management and adequate meeting planning
  • Support in the local and international travel arrangements of Senior Management
  • Arrange for the booking of conference rooms and proper set-ups for Senior Management meetings
  • Draft and respond to all correspondences on behalf of Senior Management
  • Build strong relations with local counterparts and focal points in other UN agencies and Diplomatic Representations for thorough provision of business support and information sharing
  • Preparing briefing materials and presentations for Senior Management meetings
  • Take meeting minutes when needed
  • Maintaining filing systems for Admin Unit and Senior Management correspondences and official documents
  • Answering to telephone and emails on behalf of Senior Management
  • Compile information for inclusion in reports, documents and correspondence, to support effective work of Senior Management and act as a liaison between staff members and Senior Management.
  • Proof-read and review reports, documents and correspondence for the review and signature of Senior Management
  • Process and manage routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources
  • Contribute to the improvement of business formalities and Standard Operating Procedures
  • Alternate with other administration staff as required by the Head of Administration.
  • Perform other related duties as required.
OTHER SPECIFIC JOB REQUIREMENTS
  • Official training and/or experience using MS Word, MS Excel, MS PowerPoint and other WFP software is an advantage.
  • Experience working in the UN system, Government Ministries, or Private Sector Executive Support
  • Good knowledge of UN administrative policies and procedures.

Casework Coordinator - inara

JOB DESCRIPTION
The Casework Coordinator is responsible for the Casework team at INARA. They will coordinate caseworkers in the life-altering injury and orthopaedic projects as well as be responsible for the management of their own cases. They will undertake elements of strategic work as assigned to them by the Programme Manager.  
RESPONSIBILITIES
  • The Casework Coordinator will head the Casework section at INARA. This means they are responsible for the management of two caseworkers under the life-altering project and one caseworker under the orthopaedic project
     
  • Leading in the development and implementation of new projects, with support from the Programme Manager
     
  • Creating and updating of all case management documents with buy in from the Casework Team
     
  • Reporting on the progress of cases and other types of reporting on a monthly basis as per donor requirements
     
  • Assisting the Programme Manager in the creation of a monitoring tool in order to monitor outcomes of beneficiary care and overall programme implementation, according to INARA’s objectives
     
  • Assisting the Programme Manager in evaluating the impact of INARA’s programme
  • There may be times that the Casework Coordinator is required to take on additional tasks as and when they arise. The position holder must be flexible
     
Case Management
  • Identifying and receiving case referrals through engaging with existing or new referral networks both in and outside Beirut
     
  • Working to connect vetted cases with the appropriate medical provider and/or humanitarian organisation, organising logistical support and residential care as appropriate
     
  • Responsible for the ongoing management of the case including; accompanying beneficiaries to medical appointments, organising follow ups and general liaison with medical providers and/or humanitarian organisations
     
  • Responsible for maintaining contact with the beneficiary, ensuring holistic support from case beginning to end. This includes establishing if there are any further needs which need to be addressed
     
  • Assisting with maintaining and creating a network of referral organisations and partnerships whilst boosting awareness or/and credibility for INARA
     
Administration/ other
  • Responsible for updating the case file, case database, expenses incurred and any other administrative tasks on a timely and ongoing basis
     
  • The Casework Coordinator must work with the Fundraising and Finance Officer and Communications Officer for tasks which require collaborative working
     
Reporting
  • Reports to the Programme Manager on a regular basis through weekly catch ups
     
  • Requests approval for all payments from the Programme Manager
     
Working Environment
  • Located in Beirut, the working environment will be a combination of both field and office based work
     
  • There may be times when the position holder is required to work on the weekends or evenings and undertake other duties which are broadly in line with the above

Name: Epidemiologist
Main purpose:
Médecins Sans Frontières / أطباء بلا حدود epidemiologists develop data collection systems—from chart forms to database management systems—for a wide range of project health services and serve as the data focal point for a project. In conjunction with the medical team, they will problem-solve data collection issues to ensure good quality data that does not interfere with rapid patient care. Their responsibilities will also include the recruitment, management, and training of staff involved in data collection, data entry, research, and other activities, as well as regular analysis of data and reporting of trends to project coordination staff.


Accountabilities:
  • Carry out key epidemiological activities in outbreak investigation (description including time, place, people with emphasis on mapping when it is needed) and advise on the operational response
    • Maintain a surveillance system to monitor epidemiological trends of relevant outbreak-prone diseases
    • Guide activities of medical staff for surveillance and/or active case finding, including ensuring understanding of the need for consistent case definitions and data recording (briefing of all new staff)
    • Manage data systems and ensure accurate, high quality databases
    • Prepare regular written reports on progress and findings for medical coordinator/HQ and when appropriate to external collaborators/networks (Ministry of Health, other NGOs
  • Implement initial Assessment (for emergency situation), rapid health assessment and (baseline or follow-up) surveys:
    • Where standard protocols are not available or appropriate, develop a protocol seeking extensive feedback and pilot testing of tools to ensure the objectives will be met robustly with support of HQ epidemiologist
    • Prepare / adapt routine documentation (survey forms, training materials, letters of request/notification, locally appropriate consent forms etc.) with support of Headquarters epidemiologist
    • Prepare an appropriate sampling frame and sample selection guidelines with support of Headquarters epidemiologist
    • Hire, train and supervise survey staff, including ensuring staff exhibit required skills after training and pilot test
    • Manage data systems and ensure accurate, high quality databases
    • Analyze results and report on findings
  • Implement/maintain relevant epidemiological surveillance systems/monitoring
  • Provide training sessions to medical teams on relevant aspects of epidemiology to enhance team response capacity
Requirements:

General medicine diploma or a paramedical diploma with:
  • Master in Public Health with relevant professional experience in epidemiology, or
  • Master of science in epidemiology, or
  • A doctorate in epidemiology

Music trainer-Shatila

This position is going to be a part of the KNH project, within the musical training project for 50 children from Shatila camp, through presenting cultural and entertaining as a main goal for the project.
Also gaining new skills for the participants through providing a safe environment and new ways to express themselves.
The trainer’s duties and responsibilities:
1-      Laying a detailed and specific plan on the trainings including schedules, timetables and so on, then presenting the plan as a suggestion to the art and cultural center administration as a matter of discussion.
2-      Coaching the participants on vocal techniques, stage performances and song writing. In addition to the ability to perform as a choir.
3-       Training the participants on the use of alternative musical instruments such as (body percussion).
4-      The minimum timetable for each session is 3 hours.
5-       Organizing training sessions outside the organization’s facility if necessary, and taking full responsibility of the participants’ well being during these sessions.
6-      Maintaining and organizing the use of all equipment during the training.
7-      The copyrights of the project outcomes go fully to Bassmeh and Zeitooneh as an organization.
8-       Monitoring and supervising the participants live performances.
9-      Commitment to the time and dates of each live performance, which are previously scheduled.
10-   Presenting monthly reports on the training’s progress, describing how much the participants are responding to the projects goals.
11-   Commitment to the organization’s policies and standards.

Requirements:
-          Experience: 1 year in a similar line of work.
-          Education degree: bachelor degree in social science or any related field.   
-          Fluency in Arabic and good command of English both writing and reading.
